Development Assistant

Hennepin Theatre Trust, owner of the historic Orpheum, State, Pantages and New Century Theatres, is an independent, non-profit organization dedicated to arts-inspired community cultural development. We present a rich mix of live performances, create inspiring arts education experiences and advance a thriving downtown Minneapolis Cultural District. Our activities include presenting Broadway touring productions, concerts, comedy, speakers and other variety entertainment. We honor and inspire high school musical talent and critical review skills through our SpotLight Education program for high schools. The Development Assistant supports all aspects of the Development team’s activities, projects, events and tasks. The position is the primary steward of the Trust’s donor ticket concierge services and serves as the first point of contact for donors and the broader patron base of the Trust. The Development Assistant is a cross-functional role that works collaboratively with every department at the Trust.

PRINCIPAL DUTIES AND RESPONSIBILITIES:  

Serve as the Single Point of Contact for Trust Donors as the Donor Ticket Concierge

  • Manages all donor ticketing activities, including, but not limited to:
    • Processes donor ticket requests
    • Arranges for donor tickets using TicketMaster and Archtics systems
    • Prints, sorts and mails out donor tickets
    • Processes weekly reports and analyzes results; makes adjustments as necessary
    • Monitors and responds to the general donor e-mail inbox as well as the voicemail inbox
    • Answers questions about donor level, donor benefits and ticket inquiries
    • Resolves donor and broader patron complaints
    • Performs other duties as pertains to the donor’s level of donation

Processes Development Donor Data Activities

  • Processes all incoming gifts, including:
    • Matches gift requests
    • Updates database
    • Acknowledges gifts by ensuring the President/CEO signs the acknowledgement
    • Mails acknowledgements out
  • Ensures accuracy of data pertaining to Development, including:
    • Works with Accounting Assistant to track and manage incoming gifts
    • Ensures accuracy and completeness of development records, including contact records, gift records, relationships, and all other data pertaining to Development
  • Processes weekly reports and analyzes results; makes adjustments as necessary

Comprehensive Development Support Duties

  • Assists with projects, events, campaigns, tasks, including but not limited to:
    • Broadway opening night cast parties
    • Prospect research
    • Sponsorship fulfillment
    • Miscellaneous donor stewardship activities
    • Scheduling donor engagement meetings and activities

General Administrative Duties

  • Actively seeks to collaboratively assist with other teams within the Trust
  • Performs other duties as assigned

QUALIFICATIONS

Required 

  • College degree or equivalent experience
  • Customer service experience
  • Excellent customer service skills
  • Ability to collaborate and work well on a team
  • Excellent written and verbal communication skills
  • Strong organizational skills and uncompromising attention to detail
  • Ability to balance multiple competing priorities, complex situations and tight deadlines
  • Able to keep confidential information private and secure
  • Flexible and willing to adapt to change
  • Proficient in Microsoft Suite programs

Desired

  • Proficient in Ticketmaster or similar ticketing platform
  • Proficient in SalesForce or similar platform
  • Experience in the arts, theatre or entertainment industries and/or the nonprofit sector
