Sponsorship Specialist

Hennepin Theatre Trust, owner of the historic Orpheum, State and Pantages Theatres, is an independent, non-profit organization dedicated to arts-inspired community cultural development. We achieve our mission by presenting a rich mix of live performances, creating inspiring arts education experiences and advancing a thriving Hennepin Avenue cultural district in downtown Minneapolis, Minnesota. We are the presenting partner in our Broadway on Hennepin Season and we present a robust lineup of concerts and events in and around our theatres. Our educational initiatives include working with over 90 schools across Minnesota with our Spotlight Education programOur public art program includes Made Here, a walkable urban art experience, and the iconic Bob Dylan mural.

The Sponsorship Specialist builds and maintains strong relationships with our hospitality partners and supports the Corporate Sponsorship Manager by helping manage our hospitality program. The Sponsorship Specialist is responsible for executing the details of the agreement in partnership with team members across the organization.

Sponsorship Duties

Manages long-term relationships with sponsors:

  • Conducts prospect research for all of our programs including public art and placemaking, education, community engagement, local theatre programming and WeDo
  • Prepares written materials for potential sponsors, including FMV and sponsorship value assessments, developing proposals and presentations
  • Communicates regularly with sponsors regarding fulfillment approval, promotions, events and updates
  • Ensures each deliverable in sponsorship agreements are fulfilled on time and within budget
  • Engages with team members as necessary to complete tasks and projects
  • Initiates and ensures accuracy of the sponsorship billing process
  • Monitors expenses, reconciles fulfillment costs
  • Manages the database of sponsorship information, including, but not limited to, prospect information, correspondence, contracts and fulfillment
  • Tracks budget for each executed sponsorship agreement
  • Tracks sponsorship status through completion and anticipates renewals
  • In coordination with marketing and communications, provides sponsorship recap reports, impressions summaries, and other documentation that demonstrates ROI for each sponsor
  • Interfaces with designated team members regarding activities or events that involve sponsors
  • Acts as sponsor liaison prior to and during any sponsor-related events
  • Anticipates sponsor needs and proactively seeks ways to deliver above and beyond fulfillment requirements
  • Oversees all aspects of marketing collateral that includes sponsor logos and branding, routes logo and branding through internal and external approval processes

 Hospitality Partnership

  • Supports the Sponsorship Manager by building strong relationships with hospitality partners, especially hotels and restaurants in downtown Minneapolis
  • Assists in identifying, recruiting, developing and administering restaurant, hotel and community sponsorships
  • Tracks partnership status through completion and anticipates renewals
  • Maintains regular correspondence with hospitality partners
  • Coordinates partner events, acts as liaison prior to and during events (Summer in the City, 900 Hennepin tours, networking events)
  • Connects/introduces HTT team members to hospitality partners as appropriate

 Event Coordination

  • Creates, plans and implements cast parties and sponsorship-related events
  • Coordinates with Volunteer Coordinator to fully utilize volunteers for special events
  • Maintains VIP lists; coordinates with other staff on design and release of invitations; tickets VIPs for Broadway shows
  • Manages expenditures within budget
  • Maintains detailed event records in Salesforce; provides post-event summaries and critiques
  • Ensures prompt settlement with vendors and payment for vendors

 Administrative Support

  • Emails meeting notices
  • Creates and updates lists and databases
  • Prepares presentations
  • Performs other duties as assigned



  • Bachelor’s degree or equivalent experience
  • Experience in event planning
  • Experience working in non-profits and/or with sponsorships
  • Excellent relationship management, planning, and organizational skills
  • Ability to effectively organize and communicate information
  • Proficient with social media platforms
  • Excellent communication skills, both written and verbal
  • Ability to work independently and proactively, and provide good judgment
  • Strong attention to detail, timing, and follow-through
  • Administrative assistant capabilities
  • Able to keep confidential information private and secure
  • Flexible and willing to adapt to change
  • Proficient in Microsoft Office programs, specifically working with computer databases and spreadsheets


  • Computer graphics and creative design skills
  • Experience with a nonprofit electronic donor database
  • Experience in the arts, theatre or entertainment industries and/or the nonprofit sector are a plus

  • Requires some evening and weekend hours with majority of hours during the regular work day
